Privacy policy
Build Pro HQ is operated by RKGM Pty Ltd (ABN 92 699 403 686) (“we”, “us”, “our”). This policy explains how we collect, use, store and disclose your personal information when you use the Build Pro HQ mobile app on iPhone, iPad or Android, use this website, or contact us. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. What we collect
We only collect the information we need to run the service. That includes:
- Account details: your name, email address and initials, used to sign you in and to show who owns each item. Your password is handled by Google Firebase Authentication and stored only in scrambled (hashed) form. We never see it.
- Job and project data: the action items, notes, project names, levels, trades, zones and other filters, importance, due dates and completion status that you and your team enter.
- Photos, drawings and documents: photos you take or attach, sketches you draw in the app, and reference files such as drawings, PDFs and specifications that you upload to a project. Your name is recorded against files you upload.
- Subcontractor contacts you save: if you save a contact in the app so you can send them a list (their name, trade, and email address or phone number), it is stored against your account and only you can see it. The app does not read your phone’s address book.
- Feedback, reports and support messages: what you send from Help & Feedback in the app (your message, together with your name, email address, role, current project, app version and phone type), and anything you send through the forms on this website or by email.
- Disclaimer acceptance: the date you accepted the in-app disclaimer and which version you accepted.
- Website form details: the name, company, email address, phone number and message you enter in the enquiry and support forms on this website.
- Basic technical data: standard information your device or browser sends, such as IP address, device or browser type and app version, and the server logs our hosting providers keep. We use it to keep things working, secure the service and fix problems.
We do not collect your location, your phone’s contacts, advertising identifiers or any sensitive information as defined by the Privacy Act, unless you choose to put it into a note, photo or document yourself. The app contains no advertising, analytics or tracking software. It uses your camera and photo library only when you choose to add a photo.
2. How we use it
We use your information to:
- Create and manage your account and sign you in.
- Store, display and sync your projects, action items, notes, photos, drawings, documents and daily list for you and your project team.
- Let project managers run their projects, including adding and removing people and seeing the items raised on the job.
- Respond to your support requests and feedback, and review and act on reports about content or people.
- Reply to signups and enquiries made through this website.
- Keep the service secure, diagnose faults and improve how it works.
We do not use your information for advertising, we do not sell it, and we do not track you across other apps or websites.
3. Where your data is stored
App data is stored using Google Firebase, which runs on Google Cloud infrastructure. Project data (Cloud Firestore) and files such as photos, drawings and documents (Cloud Storage) are stored in Google Cloud’s Sydney region (australia-southeast1). Sign-in is handled by Firebase Authentication, which Google operates globally, so your email address and sign-in records may be stored or processed outside Australia, including in the United States.
Details submitted through the forms on this website are stored with our website hosting provider, whose servers may be located outside Australia, and are emailed to our team. Where personal information is handled outside Australia, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
4. Who can see it and who we share it with
We share personal information only where it is necessary to run the service:
- Your project team: items, notes, photos, drawings and documents you add to a project are visible to the other members of that project, shown with your name or initials. That is the point of the app.
- Project managers: managers can see every member’s items on their projects, can see when each member accepted the disclaimer, and can add people to and remove people from a project. So that they can add people, managers can see the name and email address of registered Build Pro HQ users.
- Our service providers: Google Firebase (Google LLC) and our website and email hosting providers, who store and process information on our behalf.
- Where required by law, for example in response to a valid legal request.
We do not disclose your personal information to any other third party for their own purposes.
5. Security
Data is encrypted in transit using industry-standard TLS and encrypted at rest by Google. Access to the app requires an email address and password, and access to job data is restricted to members of the relevant project through server-side security rules. Administrative access is limited to the small team that runs the service. No system is ever completely secure, so we can’t guarantee absolute security, but we take reasonable steps to protect your information from misuse, loss and unauthorised access. If a data breach is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner as the law requires.
6. Keeping and deleting your data
We keep your account information for as long as your account is open.
You can delete your account yourself in the app: go to Manage, then My Space, then Account, then Delete account. Your sign-in, your profile, your saved contacts and your personal settings are deleted immediately. You can also ask us to do it for you: see Delete your account and data or email service@buildprohq.com.au. We acknowledge requests within 2 business days and complete them within 30 days.
Action items, notes, photos, drawings and documents belong to the construction project they were created in, not to the individual account, because the site record has to stay intact for the builder who runs the job. When your account is deleted that content stays on the project and is no longer linked to your account. Your name may still appear where it was recorded on a document or drawing you uploaded. Tell us if you want it removed and we will remove it. If you want the job content itself removed, tell us and we will pass the request to the manager who owns that project, because it is their record.
Website enquiries, support messages and in-app feedback are kept for up to 24 months and then deleted. We may keep a limited amount of information for longer where the law requires it, or where we need it to resolve a dispute.
7. Accessing and correcting your information
You can see most of your information directly in the app. You may also ask us for a copy of the personal information we hold about you, or ask us to correct it, by emailing service@buildprohq.com.au. We will respond within 30 days.
8. Children
Build Pro HQ is a tool for working professionals and is not intended for children. We do not knowingly collect personal information from anyone under 16.
9. Changes to this policy
We may update this policy from time to time. When we do, we will change the “last updated” date at the top of this page. If a change significantly affects how we handle your information, we will tell you in the app or by email.
10. Complaints and contact
If you have a question or a complaint about how we handle your personal information, email us at service@buildprohq.com.au and we will work with you to resolve it. We aim to respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
